How Much Does Wedding Furniture Rental Cost in California?
Real numbers from our own catalogue — per-piece rates, three worked budgets and what actually moves the total.
Quotes answered within the hour · No minimum order in Southern California · 2-day rental period at no extra cost
The short answer
Most of the weddings we quote land between $8,000 and $21,000 for furniture, depending on guest count and how much lounge you build. A 120-guest wedding with dining tables, cross-back chairs, a lounge, a bar and a ceremony arch comes to roughly $12,000 in furniture before delivery.
Everything below comes from our live catalogue rather than an industry average, so you can price your own list rather than guess at a range. Delivery, set-up and collection are quoted separately, because they depend on distance, access and your load-in window rather than on how many chairs you take.

Delivery, set-up and collection are additional and quoted for your venue. These totals assume our typical-rate pieces; choosing the entry-level chair instead of a cross-back, or skipping the lounge, moves the number down materially.
What actually moves the price
- The chair. At 120 guests the difference between our entry-level chair and a cross-back vineyard chair is a few hundred dollars, and it is the single most visible line in the whole order.
- Whether you build a lounge. A lounge is the biggest optional block in most budgets. It is also the thing guests photograph and sit in for three hours.
- Access and load-in. A ground-floor lawn with truck access next to it is the cheapest delivery there is. Stairs, lifts, gravel drives, sand and long carries all add crew time.
- Timing. Early load-in for a same-day flip, or a late strike because of a venue curfew, both add crew hours.
- Distance. Inside our Southern California zone delivery is straightforward. Northern California and the Central Coast are quoted as destination deliveries with a $5,000 minimum order.
Where California venues add cost
The venue usually decides more of the delivery cost than the furniture list does. The things that come up most often across California:
- Resorts that require a certificate of insurance naming the property, which we provide as standard
- Estates with a firm strike time, which means a late crew rather than a morning collection
- Beach and bluff sites where access finishes on foot
- Wine country properties with gravel drives and weight limits on private lanes
- City venues with permitted street load-in and freight lifts booked by the hour
How to spend less without it looking like you did
- Put the money on the dining tables and chairs. They are in every wide shot and every guest touches them for three hours.
- Build one strong lounge instead of three thin ones. Two sofas and a real coffee table read better than a scatter of single chairs.
- Use benches on one side of the table. They seat three to four for the price of roughly two chairs and they photograph beautifully.
- Skip cocktail tables if the cocktail hour is short and the space already has ledges and walls to stand at.
- Tell us the budget. We would rather design to a real number than send a quote you have to cut in half.

Straight answers to the questions we get asked most
How much does it cost to rent chairs for a wedding?
Between $5 and $60 per chair, depending on the chair. Resin folding chairs are $5, folding wooden chairs $6.50, cross-back vineyard chairs $12, and designer dining chairs run to $60. For 120 guests that is $600 at the folding end, about $1,440 in cross-back vineyard — the most-booked chair for California weddings — and up to $7,200 in designer dining. Benches are the cheaper way to seat a long table: from $69 each, seating roughly three. Delivery is quoted separately.
How much does it cost to rent tables and chairs for a wedding?
For 120 guests, $3,000 to $17,400, and most weddings land near $5,000. The maths: 15 farm or dining tables at $160 to $680 each, seating eight per table, plus 120 chairs at $5 to $60. A common pairing — a mid-range table with cross-back vineyard chairs — comes to roughly $5,000 for the seating plan. Every table and chair is priced on this site, so the number can be built before anyone asks you for a quote.
How much does it cost to rent dinnerware for a wedding?
About $14 per guest for a full place setting: a plate from $3.99, flatware at $2.75 and two glasses at $3.65 each. For 120 guests that is roughly $1,685. Plates alone run $3.99 to $8.00 across seventeen patterns, glassware is $3.65 a piece across ten styles, and flatware is $2.75 in five finishes.
How much does event furniture rental cost in total?
A 120-guest California wedding typically runs $6,500 to $20,500 in furniture and tableware, delivery excluded — roughly $55 to $190 a guest. Eighty guests is about $4,500 to $16,000, and 200 guests about $11,000 to $38,000. What moves the total is not the guest count but the lounge and the bars, because those scale with the shape of the evening rather than the headcount.
Frequently asked questions
Is delivery included in these prices?
No. Delivery, set-up and collection are quoted separately for your venue, because they depend on distance, access and your load-in window rather than on the size of the order. We confirm the figure in writing before you book.
Is there a minimum order?
Not in Southern California. Northern California and the Central Coast carry a $5,000 minimum order, because those are destination deliveries with a crew on the road for the day.
How long is the rental period?
A standard booking covers a two-day rental period at no extra cost, so you are not paying for a rush return the morning after your event. Longer bookings are priced at 1.5× for 4–14 days and 2× for 15 days or more. Rentals with any billable day in October are priced at +10%.
Do you charge for set-up?
Set-up and placement are part of the delivery quote. Our crew places and levels everything on site and comes back for it — you do not move furniture on your wedding day.
Can you work to a fixed budget?
Yes, and it is the easiest way to work. Tell us the number and the guest count and we will design to it rather than sending a quote you have to cut in half.
